1. Introduction

sogmailcleaner is an email cleaning and management application developed by an individual developer. This Privacy Policy explains how information is collected, used, stored, and protected when you use sogmailcleaner.

By using sogmailcleaner, you accept the practices described in this policy.

2. Information We Collect

2.1 Google Account Information

Name and email address
Profile picture
Access token for the Gmail API (we do not store your password)

Your Google refresh token is stored on our server encrypted with AES-256-GCM. Your browser never receives it. It is deleted the moment you delete your account or revoke access.

2.2 Gmail Data

We access your Gmail account to:

Read, list, and display your emails
Delete emails at your request
Manage labels and filters
Access metadata (sender, subject, date, size)

      Important: We do not read or store the content of your emails on our servers. All processing occurs on your device or directly with the Gmail API. Our architecture is designed so email content is processed only between your browser and Gmail's API.
    

2.3 Usage Data and Statistics

Stored with your account, as plain counters and preferences:

Number of emails deleted and unsubscribes performed
Space freed
Monthly usage, so we can apply your plan limits
Your plan and, if you share it, which accounts you linked
Your folder names and the senders you assigned to them, so they follow you across devices
The trials you track, if you use that feature: company name and dates only
The language you chose in the app, so our emails and reminders reach you in that language

Blocked senders, your PIN for the secure folder, the spam rules you create and the last emails shown in your inbox stay on your device only. They are never uploaded.

2.4 Device Information

To prevent abuse of the free trial, we store a random identifier generated on your device the first time you open the app. It is not a fingerprint: we do not read your screen resolution, timezone, language or browser characteristics for this, and it cannot be traced back to you or to any other app.

2.5 Notifications

If you turn on trial alerts, your device registers a notification token with Google Firebase so we can remind you before a trial ends. It contains no email content. Turn notifications off in your browser or system settings and the reminders stop.

2.6 AI Assistant (optional)

The AI assistant only works if you connect your own API key from Anthropic, OpenAI or Google. That key is stored on your device and never reaches our servers. When you type a command, only the text of that command is sent to the provider you chose, under their terms. Your emails are never sent to any AI provider, and we do not pay for or operate any AI service on your behalf.

2.7 Support Chat Data

If you use our live chat feature, we collect messages sent during support conversations, time and date of messages, and conversation status.

2.8 On-Device Junk Filtering ("Possible spam")

sogmailcleaner can identify likely junk senders that reached your inbox. This analysis runs entirely on your device using message metadata (sender address, subject line, snippet) and pattern heuristics — no email content or classification results are sent to our servers.

Senders you mark as "Not spam" (allow list)
Senders you report as spam (and their domains)
Custom domain endings you choose to filter (e.g. ".biz")

These preferences are stored locally in your browser on your device, per account. They are not uploaded to our servers, and they are removed if you clear your browser data.

2.9 Sender Logos

To show sender brand logos (as Gmail does), the app looks up the sender's domain — never your email content or address — against public logo sources: BIMI records via Google Public DNS (dns.google), Google's favicon service, and Clearbit's logo service. Only the sender's public domain name (e.g. "amazon.com") is sent to these services. Results are cached on your device. If no logo exists, a colored initial is generated locally.

2.10 Storage Insights

The "About your email" panel shows totals and estimated space (heavy emails, Spam, Trash). These figures are computed from message size metadata only, on your device. We do not request access to your Google Drive or Google Photos storage, and your total Google account quota is not read.

4. Email Communications

By using sogmailcleaner, you agree to receive service-related email communications including account notifications, transactional notifications, and service updates. We do not sell your email address or share it with third parties for marketing.

Most of these are transactional and are always sent: purchase and renewal receipts, refund notices, and notices about your account being blocked or unblocked, because they are necessary to operate the service. The one you can turn off in Settings, under Email Notifications, is the expiry reminders.

5. Information Sharing

We do not sell your personal information.

We share data only with:

Google: For authentication and Gmail access via OAuth 2.0
Stripe: To process subscription payments
Firebase (Google): For secure account data storage
Resend: To deliver the service emails described above
Logo providers (Google Public DNS, Google favicon service, Clearbit): receive only public sender domain names in order to display brand logos — never message content, your address, or any personal data

We may disclose information if required by law or to protect our legal rights.

6. Data Retention

We keep your data while your account is active
When you delete your account, two things happen immediately: your Google access is revoked and the encrypted refresh token is deleted, so the app can no longer reach your Gmail. Everything the app stored on your device is erased at the same moment.
Your account record is then marked as deleted, but the usage counters, plan history and the trial identifier are kept on purpose: otherwise anyone could delete and recreate an account to reset the free limits or claim the trial again. Monthly counters reset on their own each month.
If you want that remaining record erased as well, write to us and we will remove it, unless there is an unresolved chargeback attached to it.
Fraud prevention data may be retained for up to 12 months
Transaction data is retained according to legal requirements

7. Your Rights (GDPR / CCPA)

You have the right to access, correct, delete, and port your data, as well as object to processing and withdraw consent at any time. To exercise these rights, contact us at sogmailcleaner.support@gmail.com.

8. Security

SSL/TLS encryption for all communications
OAuth 2.0 authentication (we never see your Google password)
Your Google refresh token is encrypted with AES-256-GCM on our server and never sent to your browser
Session tokens are signed and expire after 90 days
Secure storage in Firebase with strict access rules: billing, plan and moderation fields can only be written by our server
PCI-compliant payment processing through Stripe

9. Minimum Age

sogmailcleaner is intended for users 13 years of age or older. We do not knowingly collect information from children under 13.

10. Google API Limited Use Policy

sogmailcleaner's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, we commit to:

Use Gmail data only to provide and improve user-facing email cleaning features
Not transfer Gmail data to third parties except to provide or improve the service, with your consent, or as required by law
Not use Gmail data for advertising
Not allow humans to read your emails unless you have given explicit consent, it is necessary for security purposes, or it is required by law

We request only two Gmail scopes, gmail.modify and gmail.settings.basic. We do not request access to Google Drive, Google Photos, Contacts or Calendar.

11. Changes to this Policy

We may update this policy periodically. We will notify you of significant changes via email or through a notice in the application.
